Official documents can now be submitted to the Fund electronically through UNJSPF Member Self-Service It is now possible for UNJSPF participants and beneficiaries to submit their official documents to the Fund electronically, including Payment Instructions or the barcoded annual Certificate of Entitlement (CE), via their UNJSPF Member Self-Service (MSS)<https://www.unjspf.org/member-self-service/>. Recognizing the difficulties and stress COVID-19 related disruptions to established mailing channels (i.e. postal mail, special courier, and pouch) have caused, especially to beneficiaries and retirees worldwide, the Fund has made every effort over the past few months to accelerate innovation and offer its clients a secure new channel of electronic document submission via MSS. All UNJSPF forms, pre-completed with the UNJSPF member’s name and UID number, could already be accessed, downloaded, and printed under the E-Forms tab inside the MSS portal, except for the CE form (Retirees and beneficiaries paid under the two track still receive their annual barcoded Certificate of Entitlement (CE) form* in paper format. All others can access, download, and print their annual barcoded CE inside their MSS under the Documents tab, once it has been posted there around end of May each year.) Now, MSS users can submit/upload all official UNJSPF forms, as well as supporting documents, via a new MSS Document Upload feature. It should be noted that MSS users are still required to affix their handwritten signature on any of the official UNJSPF forms before converting them into PDF or JPG format and uploading them inside MSS for submission to the Fund (electronic signatures are not accepted). MSS users can also upload supporting documents if and as required (e.g. valid ID document/s, birth certificate/s, marriage certificate, divorce documents, etc.) in PDF or JPG format. All duly completed, dated, and signed UNJSPF forms received by the Fund via this new MSS Document Upload feature will be considered as ‘originals’ for the purpose of pension-related processing. In other words, once documents have been submitted to the Fund via this electronic channel, there is no need for participants and beneficiaries to send hardcopy originals to the Fund unless otherwise instructed by the Fund or their employing organization. Detailed, step-by-step guidelines explaining how this new upload feature works are provided inside the MSS Document Upload tab; we encourage you to log into your MSS portal to familiarize yourself with this new feature which will be useful whenever you have to submit official UNJSPF forms and/or supporting documents to the Fund. This is a big change for the Fund, as it standardizes the option to submit documents electronically, even beyond ‘COVID times’. Certificates of Entitlement: A 2nd mailing of the 2020 Certificates of Entitlement (CE), dated 31 October 2020, is in the process of being dispatched by UN Mail and Pouch Services to the 20,984 retirees and beneficiaries from whom the Fund had not received their original duly completed barcoded 2020 CE form by mid-October 2020. We hope these CE forms will reach all concerned within the next few weeks. Should you be part of the beneficiaries who, at this date, still have not, yet, received their 2020 CE form, please read on for guidance on what to do. While the Fund encourages all retirees and beneficiaries to return their original barcoded CE forms to the Fund by 31 December 2020, we are aware that, due to COVID-19 related disruptions, numerous retirees and beneficiaries still may not be able to receive and return their 2020 CE form. Beneficiaries who have not received their 2020 CE form by end of November 2020 and who can send mail to the Fund are strongly encouraged to send a letter to the Fund providing your full name, address, Pension Fund reference number (UID), as well as your original signature and the date. The Fund would exceptionally accept such letter in lieu of the 2020 CE form. Please note that most retirees and beneficiaries can access, view and print their 2020 CE form inside their UNJSPF Member Self Service (MSS) https://www.unjspf.org/member-self-service/, under the DOCUMENTS tab. You can return to the Fund either your barcoded 2020 MSS CE or the barcoded hardcopy 2020 CE that you received via postal mail; the importance is that the Fund receives from you a duly dated and signed 2020 CE form that holds a barcode, as the barcode will allow the Fund to automatically track your returned CE form, which in turn will allow you to track receipt by the Fund of your returned 2020 CE inside your MSS portal under the PROOF DOCUMENTS tab: [https://www.unjspf.org/member-self-service/]. HOW AND WHEN SHOULD I RETURN THE 2020 CE TO THE FUND? A duly completed (dated and signed), original barcoded 2020 CE form (either the one sent to you by the Fund or the MSS CE), should be returned to the Fund by the end of December 2020.
